Are you a pop culture junkie who lives for staying ahead of the trends? Betches Media is on the hunt for a dynamic and proactive Freelance Talent Coordinator to join our Talent Relations Team.
We’re looking for someone who’s got their finger on the pulse of everything pop culture, is obsessively detail-oriented, and can read the room (or inbox) like a pro. You’ll need to anticipate what the team needs before they even realize it, all while staying cool and collected under pressure—because let’s be real, things move fast around here!
If you can bring your A-game in talent-facing situations and deliver top-notch professionalism while keeping the vibe light and fun, this could be the role for you. Reporting to the Director of Talent Relations, you’ll be an essential part of making sure everything runs smoothly behind the scenes.
Roles & Responsibilities
Track all talent-related documents including but not limited to contracts, releases, and payment documents
Work with legal to confirm completion of confidential memos, correspondence, notes
Work with video production teams to confirm talent logistics for shoots
Coordinate business & talent travel, including trip logistics and itinerary, meeting coordination, and remote support
Schedule and set up conference calls, teleconferences and web-based meeting
Interact with a wide variety of internal and external clients and contacts
Establish best practices for the brands while interfacing with celebrity talent.
Update talent database ensuring all upcoming press and contact information for talent, agents, managers and lawyers is always current.
Should have a broad and deep knowledge of pop culture and celebrity and be expected to brainstorm for coverage ideas. Bring energy and teamwork skills.
Enjoy working in a fast-paced, demanding environment, sometimes driven by last-minute production requirements
Handle multiple assignments at once, work quickly and meet deadlines
Remain current on local events & trends and source potential leads in major markets
Perform general office administration, including but not limited to: Following up on leads, phone calls, emails, scheduling, emailing, organizing, and maintaining files
Create and maintain an editorial calendar and update it with relevant names in the press round circuit
Qualifications
~ BA or BS Degree
~1-2 years of experience in talent relations or relevant experience
~ Experience managing the needs of celebrity-level talent and ability to stay calm while handling difficult situations
~ Strong attention to detail, administrative, critical reasoning, and problem-solving abilities
~ Strong influence, negotiation skills, and knowledge of talent contractual terms
~ Excellent time management skills, with the ability to prioritize and multitask, and work under shifting deadlines in a fast-paced environment
~ Excellent interpersonal skills and ability to interact and work with staff at all levels
~ Willingness to take initiative and to follow through on projects
~ Strong written and verbal communication skills
~ Ability to work independently and in a team environment
~ Ability to travel and work outside of standard business hours
Compensation
The hourly rate for this position is $40 from 20 hours per week.
